Instructions for posting jobs and other announcements (internships, conferences, workshops, etc.) to the Conservation DistList [ The most recent version of this document is always available at http://cool.conservation-us.org/byform/mailing-lists/cdl/job-instruct.txt ] 1. Only jobs *directly* involving the conservation/preservation of museum, library, or archive materials will be accepted. While many other jobs (curatorships, directorships, heads of library technical service departments, archival positions, etc. do, obviously, involve some element of preservation, we can only accept postings for those that are primarily preservation/conservation jobs, otherwise we'd be swamped. There are other list more suitable for any of these non-preservation jobs (ExLibris, Archives, Museum-L, etc.) Please provide the "official" title of the job, i.e. the *role* the hiree will play; e.g. if the job is for a paintings conservator, indicate that rather than a meaningless pseudo-title such as "conservation position" (you're looking for a conservator, not a position"). If you really have a compelling reason for varying from this form, please explain briefly in a note at the beginning of your submission, lest you cause me extra work and both of us to lose time. 2. Postings of job announcements, internships, and workshops will be accepted from anyone, not just registered DistList participants. Please try to provide a non-generic Subject: line. "Event", "Program", "Day" are less helpful than (e.g. "Workshop", "Lecture", "Seminar", "Meeting"). 3. Postings *must* be signed (i.e. have a human name associated with the message. If they don't they will not be accepted, under any circumstances. 4. Postings must be sent as plain text, not file attachments. That is, all postings must be USASCII or Latin 1 (ISO 8859-1) only, and must be sent by ordinary email. Please do NOT send file "enclosures", attachments, word-processing files, etc. HTML mail and encoded text (binhexed, mimencoded, uuencoded, xml, microsoft-xml, etc) are also not acceptable. No exceptions will be made. 5, SEND POSTINGS TO CONSDISTLIST@COOL.CONSERVATION-US.ORG Please note that you *MUST* send postings to the above address; if you send them to any other address you risk not having your item posted at all. Please send DistList items *directly* To: consdistlist@cool.conservation-us.org That is, *do* make the address the primary recipient *not* a Cc: or Bcc: Do not include consdistlist@cool.conservation-us.org in a mailing list that includes other recipients. Doing so may lead to your posting being rejected unread. 6. DEADLINES AND TIME-SENSITIVE ANNOUNCEMENTS A. If you have a deadline, please put TIME SENSITIVE--in uppercase letters, as the first two words--in *BOTH* (a) The Subject: line and (b) The body of your message This enables my software to pick out your message and call it to my attention. Without that notice, it is unlikely your message will get noticed and will be put in the ordinary posting queue. B. Because the mailings are sent out as messages accumulate (and my work schedule permits), there are no fixed deadlines. However, for time-critical announcements you must give me adequate lead time. If *you* have a deadline (e.g. a conference registration cutoff, job application deadline, etc), then you should try to get it to me at least 3 weeks prior to the time you want people to see the notice and in most cases you can be sure your item will go out well before that. With less time, your item will be handled as best we can, but you run the risk that it will not go out in time. E.g. if a conference is in 8 weeks and you want people to have 4 weeks to register, then you should try get it to me no later than 7 weeks ahead (I hope I did the arithmetic right :-) C. Note that I don't have the facilities/time/staff to support press-release embargoes; if you send a message today, it may go out today, tomorrow, 3 weeks from now, etc. If you really need something embargoed write to me privately at request@cool.conservation-us.org and discuss it with me (and make sure it is clear which submission you refer to). If it is possible, I will *try* to honour the embargo, but make absolutely no promises. D. IMPORTANT: As mailings often get backlogged for reasons beyond my control, I cannot promise posting in time to meet your deadline. There is only one person working on this, part time, and with the large number of messages being posted backlogs frequently develop. However, if several mailings have gone by and you have not seen your item in the archive, do please let me know at request@cool.conservation-us.org but please do check the archives before writing to me to be sure that your item really hasn't gone out already E. I am not able to notify you when (or whether) your posting has been sent out. In the body of your message, include only what what you want published or clearly indicated what sections you do not want published. For example, if the body of your message has a "Signature", i.e. a boilerplate or automatically included block of text, usually at the end of the message, it will be included (subject to editing) in the announcement. If you do not intend that text to be included in the mailing", as is often the case for HR departments or advertising agencies, please do not include it in the body of the message. If you are unable to prevent it from being included in your message, please add a note at the top of the message indicating this, and make it very clear where you intend the message to begin and end. For example, you could put a marker like ` ---- snip ----- at the beginning and end of the announcement. ---- snip ----- Any other way of making your intentions clear will also be OK. 9. IMPORTANT: REPEAT POSTINGS ARE NOT ACCEPTED. Do not send "reminder" messages, or messages that substantially repeat what you've already said about a job or event, no matter how long ago. Followup announcements (e.g. "the position has been filled" or "registration is closed" are not accepted. Substantive new information is acceptable but please just submit the *new* material and refer the reader back to the original posting. An example of what is appropriate: For a conference you might submit some of the following (a) A Call for papers Some months later as planning for the conference is complete and registration is open, an announcement or "invitation" to register. (c) If the schedule of speakers and the titles of their talks are not known until some time after the announcements, the schedule and similar information may be submitted. Do not repeat your original posting, but you may give a *very* brief introduction with a reference to (a), citing its original posting date (d) Following the conference an announcement about proceedings, postprints or other publications that result from the conference. For job announcements acceptable followup submissions include: An extension of the job posting deadline; a significant change in the job description; or a *significant* error in the original). In cases like this, you may post a very brief (20 lines or less) notice, providing the new information and referencing the original message. 10. The language of the DistList is English. Please write in complete sentences using something at least vaguely related to conventional English grammar. Please spell-check your document. Please use conventional punctuation. 11. Please keep your posting as brief as possible, preferably under 50 lines (68 chars wide). Remove any non-essential information, such as descriptions of your region, history of your institution, etc., unless they are of *direct* significance to the job. Do not include a Job Application Form or lengthy listings of government regulations pertaining to the job but *do* include information (especially URLs) indicating where such information can be obtained. Please remove anything that might be construed as advertising. Please include, near the top of your text, the job TITLE and the NAME OF THE INSTITUTION, BUSINESS, studio, etc. E.g. Good: Paper conservator The British Museum Bad: Position New York 10. Your text is subject to editing for length, style, content, and you will not be notified of such changes prior to posting. 11. IMPORTANT: All DistList postings, including Job announcements, will be made available online for the indefinite future, in the DistList Archives in Conservation OnLine. Your posting will *not* be removed after the job-posting period is over. 12. In an effort to prevent our resources being used as a source of targets by spammers and viruses. spammers and viruses, to the best of our ability all email addresses in the DistList, ConsDir, and most areas of Conservation OnLine are in some way disguised or obfuscated. The nature of the alteration is subject to change at any time. When including email addresses in you submission, please do *not* obfuscate email addresses yourself; let us handle that at this end, where our software can handle the addresses consistently and helps us prevent errors. E.g. "mary.smith@example.com" is preferable to things like "mary_smith [at] example_com" 13. There is no charge for posting to the DistList Conservation OnLine (CoOL) and the Conservation DistList are online resource operated by the Foundation of the American Institute for Conservation. The Cons DistList is an online forum, serving those professionally involved--and this is interpreted liberally--with the conservation of cultural materials. Students in library, archives, and museum studies, or conservation science are also welcome. It is issued irregularly, based on the number and length of submissions, usually once or twice a week. CoOL, an online resource operated by the Foundation of the American Institute for Conservation is a full text library of conservation information, covering a wide spectrum of topics of interest to those involved with the conservation of library, archives and museum materials.
