OSG POSTPRINTS GUIDELINES

GUIDELINES FOR AUTHORS - OBJECTS GROUP POSTPRINTS, 2009


Although the OSG Postprints are not a juried publication, we are trying to make it as professional as possible in both content and appearance. Authors must follow the following guidelines.

Format for submission

  1. Preparation of the Text and Images:
    1. The text should be prepared in WORD without photographs.
    2. Include captions in the text-only version. They will serve as markers for image placement.
    3. Prepare the images as individual digital files on one cd. Each image should be labeled with the Author’s last name and figure number [ie. Griffin Fig1].
    4. Prepare one printed copy of thumbnail images of the labeled digital files.


  2. Style:
    1. . Papers may include more information than the oral presentation or poster.
    2. Papers should be organized using the following sections: Title, Author(s), Abstract, Text, Acknowledgments, Endnotes, Suppliers, References, and Author Information [author’s bio and author’s address].
    3. Images published in the Postprints must have figure numbers and captions, even if they were not used in the original presentation or poster.
    4. Please use an academic writing style for your submission; do not write in the first person.


  3. Fonts and Formatting:
    1. Font: Times New Roman, 12 pt
    2. Spacing: single spaced
    3. Margins: 1" margins on all sides with left justification.
    4. Section Headings: Use boldface caps and lower case [ie. Additional Bibliography]. Number section headings sequentially; see JAIC Guidelines for Authors: http://aic.stanford.edu/pubs/styles.html).
    5. Pagination: Do not paginate.
    6. Footnotes: Do not use footnotes.
    7. Endnotes: Group at the end of the text; Endnote numbers should be enclosed in square brackets []. Do not use special formatting. Do not use superscripts.
    8. Italics: Use where appropriate in the text and references. Appropriate uses include scientific names, foreign words not used in ordinary English conversation, names of works of art, titles of exhibitions and names of journals. Italics may also be used for emphasis.
    9. Headers and footers: Do not use headers and footers.
    10. Other Special Formatting: Do not use any special formatting in the text; ie. Font sizes, color, paragraph formatting.
    11. Spacing: Use only ONE space at the end of each sentence.
    12. Caption Designations: In figure captions, use the full word and a period, e.g., Figure 2. For figure references within the text, please abbreviate, e.g., (Fig. 2).


  4. Suppliers:
    Add this section to let readers know where they can purchase materials used. List the name of the product and the supplier. The name of the manufacturer is optional if the product was obtained through a supplier. Do not use symbols for copyright or trademark (© or ™ ).

  5. Bibliographic references:
    Bibliographic references MUST
    follow the format used in JAIC (see JAIC Guidelines for Authors: http://aic.stanford.edu/pubs/styles.html).

    The References section should include only books, articles, etc. that are cited in the text. “References” not cited should be listed as Additional Bibliography or Other Sources.


  6. Author Information:
    This section of the paper appears after the references. Author Information includes concise bios and addresses. At the end of the bio (s), please list the full mailing address of each author, including zip code. Phone and fax numbers and E-mail addresses are optional.


  7. Figures and Images:
    Figures and images include photographs, tables and appendices. All figures MUST have captions; use the full word and period to designate the caption; e.g., Figure 2. For images, captions should include the photographer [ie. Photograph by Pat Griffin]. If the photograph depicts an artifact, captions should include the collection and the artifact number.

    Include the captions in the text to indicate placement for figures; for text references, please abbreviate, e.g., (Fig. 2). For appendices place captions at the end of the text.

    All figures must be submitted in electronic format. Use WORD or EXCEL for appendices and tables. All illustrations must be submitted in electronic format. For images, prepare JPEG files with a minimum of 300 dpi at publication size, roughly 4x6”. Label images by your last name and figure number.


Process
Although the OSG Postprints are not a juried publication, we are trying to make it as professional as possible in both content and appearance. All papers will be read by at least two editors with an emphasis on clarity and style. Editing will include conversion to a standard format, punctuation, grammar, spelling, misused words and lack of clarity. The editors’ decisions are final. However, they will call or e-mail authors to check factual information, request clarification or request changes in wording if revision is substantive. Minor changes will be made by the editors; however, unresolved questions and substantial changes to address problems with clarity or style will be forwarded to the author for correction.

Submission Procedure
Deadlines:
Papers must be submitted by August 1, 2009 for the 2009 Postprints. Early submission is encouraged. Authors may be granted extensions on a case by case basis and should contact the editors well in advance with their reason.

Text: Please email the text including captions, correctly prepared in WORD according to the OSG Postprints Guidelines to the editors: Chris del Re [delre@mpn.edu] and Pat Griffin [cuprorivaite@hotmail.com ].

Figures: Prepare a cd with all figures including images, tables and appendices AND a hardcopy with labeled thumbnail images. Figures should be in individual electronic files labeled with your last name and the Figure no. , Table no. or Appendix no. [ie. Griffin Fig 1, Griffin Table 1, or Griffin App 1]. Mail the cd and the hardcopy with labeled thumbnail images to the technical editor: Pat Griffin [3615 Central Avenue. Indianapolis, IN 46205]. Please send an email to Pat Griffin (cuprorivaite@hotmail.com ) letting her know to expect the images in the mail.
