Conservation DistList Instructions

Conservation DistList Instructions: $Id: instruct,v 1.12 2009-09-23 16:38:54-07 request Exp request $

       *************** IMPORTANT INFORMATION *********************

Please read this document carefully. It contains pretty much
everything you need to know about using the DistList. If you
lose it, it is always available in the DistList Archives in
	   CoOL at
	   http://cool.conservation-us.org/byform/mailing-lists/cdl/instruct.shtml

                      ----------------

                       INSTRUCTIONS

1. How to "set nomail"

If you are going on vacation and want to "turn off" the DistList for
a while, do NOT send a message asking to be unsubscribed! Instead,
  send a note to
     request@cool.conservation-us.org
saying:
    SET NOMAIL UNTIL 3/4/94
and I'll add a note to my tickle file
reminding me to re-add you to the list on that date. If you send a
"please unsubscribe" message, you'll be removed from the ConsDir and
will have to fill out a new questionnaire to sign on again.

2. Changes, unsubscribing etc.

If your address changes or you wish to leave the list *please* send a
note to request@cool.conservation-us.org. If you just leave and
your mail starts bouncing, you make a *lot* of extra work from me.
For an address changes, just a oneliner will do the trick:

  change oldname@oldhost to newname@newhost

If your job title, postal address, phone, fax, interests, etc have
change, please include that as well (you can review your current
record at

3. How to Post Messages to the DistList

To post a message to the DistList, simply email it to

  consdistlist@cool.conservation-us.org

Please note that you *MUST* send postings to the above address; if you
send them to any other address you will make more work for me and risk
not having your item posted at all. Please send DistList items directly
To: consdistlist@cool.conservation-us.org

That is, do make the address the primary recipient *not* a Cc: or Bcc:
Do not include consdistlist@cool.conservation-us.org in a mailing list that
includes other recipients. Doing so may lead to your posting being
rejected unread.

If you are replying to an item in a DistList mailing, in almost all
cases you should send your reply to the list, rather than sending
private mail to author of the item. The aim here is to make your
responses available to everyone. Once in a while, the moderator will
direct you to respond directly to the author, but this is meant to be
a public discussion, so this is uncommon.

Assuming you have sent your message to the correct address, you should
fairly quickly receive an automatic message indicating that your
message has been received and will be reviewed. When I first sift
through the messages I will send you a second note saying that your
posting is being considered and if accepted will go out soon.

When you have received that second message, you can normally expect to
see your item (assuming it has been accepted) within the next two or
three mailings (depending upon how many messages are in my queue).

NB. If you do not see your message within 10 days and there has not
been some announcement indicating that the DistList is on hiatus or
otherwise not going out on schedule, please contact
request@COOL.stanford.edu and let me know that there may be a
problem. There is only one person working on this, part time, and with
the large number of messages being posted, sometimes things do go
astray.

I will hold on to the messages until there are enough postings to make
up a mailing, will mung them into a standard format, spell- check, and
in some cases do some editing, and distribute (keeping a copy for our
archives. I will also enter the posts in CoOL.

All *other* mail concerning the DistList (requests
for info, unsubscription, etc., must be sent to

  request@cool.conservation-us.org

STYLE:

1. ONE Subject per message. (you may of course send as many messages as
you like, but please try to keep each one to a single topic). DistList
messages are archived in a database and retrieval is enhanced if
messages keep to a single topic.

2. Please put a meaningful subject in the subject line. "Re: Posting
for the DistList" is *not* a meaningful subject, "Removing aged
varnish".

3. When replying to an earlier posting, please do NOT quote the entire
DistList mailing. When you do this you put a severe strain on my
limited disk space. It is entirely appropriate to quote a short
fragment of the item to which you are replying e.g.

>... I have
>an object with an odd discoloration. The discoloration suggests
>some form of copper corrosion, but it does not have the characteristic
>substrate damage associated with such corrosion

4. No hyphenation at the end of line (unless the word is really a
hyphenated word). If you use a word processor, turn hyphenation off.
Paragraphs will be reformatted and end-of-line hyphens mess things up
(there's no way for my software to determine whether it is a
legitimately hyphenated word or an artifact of word-wrap).

5. Anonymous postings are not allowed (nor are postings from a
department, institution or other non-human entity. Please identify
yourself clearly--at very least full name and title/affiliation, postal
address--including country--and phone number if you wish. If you have a
commercial interest in a material/service that your are commenting on,
the signature should make this clear (e.g. by including your company
name.) However, elaborate sigs are prohibited as are From: lines with
phone number, cute quotations and other extraneous materials, and will
be excised, which makes more editing work for me. Please recall that
this is an *International* list and if you include an address or phone
number it *must* indicate the city/country or international country
code. Please do not assume that readers will know where your site is.

6. Expand ALL acronyms, at least once in your message (ALA, AAM, AIC
are the *only exceptions to this rule. (sub-group names such as RLMS
or BPG *must* be expanded), as must the name of your institution, City
and other things you probably think are obvious to everyone. We have
participants from many countries so please be considerate.

7. The language of the DistList is English.
Please write in complete sentences using something at least vaguely
related to conventional English grammar. Please spell-check your
document. Please use conventional punctuation. Please don't make my
job any harder than it already is.

8. Please eliminate any 'pictorial' or elaborate sig, and any
disclaimers like "The ideas expressed here are not those of my
employer" (see below). Otherwise I will remove them and will not
appreciate the extra work.

9. All postings must be straight USASCII only, and must be sent by
ordinary email. Please do NOT send file "enclosures", attachments,
word-processing files, etc. HTML mail and encoded text (binhexed, mimencoded,
uuencoded, .) are also not acceptable.

10. In general only registered participants may post to the list but
exceptions are made for Job postings, announcements of internships and
the like. See [11] below

11. Posting on behalf of other people:

As a rule only registered participants may post to the list. If you
wish to post something on behalf of someone who is not a registered
participant, you may do so only if that person is not able to
register (e.g. does not have an email account or is not
professionally involved with conservation. If the person is
qualified to participate in the list, s/he should register and post
   for his/herself!

     1. Indicate this clearly by inserting text such as the following at the
         beginning of your message

The following is posted on behalf of Mary Jones, Archivist

     2.  Do *not* write "respond directly to Mary Jones";
When you post on behalf of someone else, *YOU* are responsible
for ensuring that the person receives any information posted
	 to the list.

12. Job postings (most of the following applies equally well to
announcements of internships, workshops, etc)

     1. Only jobs *directly* involving the conservation/preservation
of museum, library, or archive materials will be accepted.
While many other jobs (curatorships, directorships, heads of
library technical service departments, archival positions,
etc. do, obviously, involve some element of preservation, we
can only accept postings for those that are primarily
preservation/conservation jobs, otherwise we'd be swamped.
There are other list more suitable for any of these
non-preservation jobs (ExLibris, Archives, Museum-L, etc.)

     2. Postings of job announcements, internships, and workshops
will be accepted from anyone, not just registered DistList
	 participants.

     3. Postings *must* be signed (i.e. have a human name associated
with the message. If they don't they will not be accepted,
	 under any circumstances.

     4. Postings must be sent as plain text, not file attachments.
That is, all postings must be straight USASCII only, and must
be sent by ordinary email. Please do NOT send file
"enclosures", attachments, word-processing files, etc. HTML
mail and encoded text (binhexed, mimencoded, uuencoded, xml,
microsoft-xml, etc) are also not acceptable. No exceptions
         will be made.

     5. The language of the DistList is English.
Please write in complete sentences using something at least
vaguely related to conventional English grammar. Please
spell-check your document. Please use conventional
	 punctuation.

     6. Send postings to consdistlist@cool.conservation-us.org

Please note that you *MUST* send postings to the above
address; if you send them to any other address you risk not
having your item posted at all.

Please send DistList items directly To:
	 consdistlist@cool.conservation-us.org
That is, do make the address the primary recipient *not* a Cc: or Bcc:
Do not include consdistlist@LISTS.stanford.edu in a mailing list that includes
other recipients. Doing so may lead to your posting being
	 rejected unread.

     7. Please keep your posting as brief as possible, preferably
under 50 lines (68 chars wide). Remove any non-essential
information, such as descriptions of your region, history of
your institution, etc., unless they are of *direct*
significance to the job. Do not include a Job Application
Form or lengthy listings of government regulations pertaining
to the job but *do* include information (especially URLs)
indicating where such information can be obtained. Please
remove anything that might be construed as advertising.

     8. Repeat postings are not accepted. You may not send "reminder"
messages, or messages that substantially repeat what you've
already said about a job or event, no matter how long. If
substantially new information must be sent, (e.g. an extention
of the posting deadline, a significant change in the job
description, or a *significant* error in the original), then
you may post a *very* brief (10 lines or less) notice,
providing the new information and referencing the original
	 message.

     9. Your text is subject to editing for length, style, content,
and you will not be notified of such changes prior to posting.

     10. All DistList postings, including Job announcements, will be
made available online for the indefinite future, in the
DistList Archives in Conservation OnLine. Your posting will
*not* be removed after the job-posting period is over.

     11. In an effort to prevent our resources being used as a source
of targets by spammers and viruses. spammers and viruses, to
the best of our ability all email addresses in the DistList,
ConsDir, and most areas of Conservation OnLine are in some way
disguised or obfuscated. The nature of the alteration is
subject to change at any time.

     12. There is no charge for posting to the DistList

     13. If you post an item that is time critical (e.g. a job posting
with a deadline), you *must* get it to
consdistlist@cool.conservation-us.org with adequate lead time. If you
have an job or other announcement with a deadline, you must
submit it at least *three weeks* in advance; items received
after that cutoff will be rejected without notice. In
addition the words TIME SENSITIVE in uppercase letters *MUST*
be the first two words in *both*

          (a) The Subject: line and
           (b) The body of your message

This enables my software to pick out your message and call it
	 to my attention.

As mailings often get backlogged for reasons beyond my
control, I cannot promise posting in time to meet your
deadline. There is only one person working on this, part
time, and with the large number of messages being posted
	 backlogs frequently develop

CONTENT, LIST POLICIES, etc.:

All articles *must* pertain to the conservation/preservation of
library, archives, or museum materials, or carry information likely to
be of importance to people interested in these subjects.
Cross-postings from other lists are permitted, but please try to obtain
permission from the author before reposting. Cross-postings which
DistList readers are likely to have seen (those widely cross-posted or
posted on very popular lists) may not be accepted. Blatant
advertisements and solicitations of employment are not welcome but
informational postings about products and services of interest to our
participants are very welcome.

It is intended that most--nearly all--responses to items presented in
the DistList (e.g. answers to queries, comments upon techniques,
materials, or practices described in a posting, etc) are to be posted
online, *not* by private mail to the author. While you may find
exceptional cases where a public response is inappropriate (e.g.
protecting client or institutional confidentiality or avoiding
repeating information that has already appeared in the DistList many
times), for vast majority of cases, a *public* response is far more
appropriate; by this means, other conservation professionals can
benefit from the exchange of knowledge and ideas.

--

All contributions to the DistList are subject to editing both for
style and content and the moderator may insert related material or
comments.

All contributions to the DistList will be mounted in Conservation
OnLine and can be expected to be reformatted and re-presented as new
technologies come online.

In an effort to prevent our resources being used as a source of targets
by spammers and viruses. spammers and viruses, to the best of our
ability all email addresses in the DistList, ConsDir, and most areas of
Conservation OnLine are in some way disguised or obfuscated. The
nature of the alteration is subject to change at any time.

If you post an item that is time critical (e.g. a job posting with a
deadline), you *must* get it to consdistlist@LISTS.stanford.edu with
adequate lead time. If you have an job or other announcement with a
deadline, you must submit it at least three weeks in advance; items
received after that cutoff will be rejected without notice. In
addition the words TIME SENSITIVE in uppercase letters *MUST* be the
first two words in *both*

  (a) The Subject: line and
  (b) The body of your message

This enables my software to pick out your message and call it to my
attention.

Time sentive postings must be submitted at least **three weeks** in
advance; items received after that cutoff will be rejected without
notice. As mailings often get backlogged for reasons beyond my
control, I cannot promise posting in time to meet your deadline.
Again, there is only one person working on this, part time, and with
the large number of messages being posted backlogs frequently develop

Under no circumstances will the DistList accept announcements
concerning computer viruses. Aside from the fact that every single one
that people have tried to post here over the past decade has been a
hoax, viruses have nothing whatever to do with our topic.

All contributions to the DistList and Conservation OnLine are, barring
an *explicit* statement to the contrary, presumed to represent the
opinions of the author and in no way imply the endorsement of any
institution the author happens to work for. For this reason,
'Disclaimer' sigs are not included in DistList postings. (If your
institution requires such sigs, please show your counsel this policy
statement.)

II. Conservation OnLine
    http://cool.conservation-us.org

An online resource operated by the Foundation of the American Institute
for Conservation, Conservation OnLine (CoOL) is a complex of web sites
for people involved with the conservation of museum, library, and archive
materials. By providing a large number of articles, newsletters, etc.
on preservation topics, (all full text), and by providing an Internet
presence for several conservation/preservation organizations CoOL tries
to offer "one stop shopping" for conservation information both for
conservation professionals and our friends in allied professions.

CoOL offers several "Special topic" pages, covering areas such as
disaster preparedness, mass deacidification, pest control, digital
imaging, health and safety, etc., as well as information meant to help
find people in (and around) conservation.

Full text of publications such as the Abbey Newsletter, Alkaline Paper
Advocate, and the Journal of Conservation and Museum Studies (CoOL is
a North American mirror of the UK site) are available and, like almost
everything in CoOL is full-text searchable.

In addition, CoOL serves as "home" to several organizations including
the Western Association for Art Conservation (WAAC), the Washington
Conservation Guild (WCG), etc.

It also serves as the North American "mirror site" for the International
Council of Museums (ICOM), and also mirrors other resources` conservation
information from organizations.

CoOL also provides access to the archives of several online
discussion forums, including the Conservation DistList, ExLibris,
PhotoHst, etc.

New participants may receive some additional information about CoOL,
but the above info is really all you need to get started. If you have
trouble using your browser, please talk with your local web guru.

Please note that Conservation OnLine depends on YOUR help; please
consider contributing articles, notes, outlines, presentations, or
other conservation-related documents to CoOL.

If there is anything I can do to make your time on the net more
productive or more fun, just let me know.

Welcome to the DistList,
Walter
